Scheduled export

Scheduled Export is a powerful feature of Cross-Board Export that allows you to automate your data exports at regular intervals, ensuring your reports and backups are always up-to-date without manual intervention. This guide will help you set up and manage scheduled exports effortlessly.


Step 1: Access Cross-Board Export

  1. Open your Trello board where the Cross-Board Export is installed.

  2. Click on the Cross-Board Export icon located at the top of your board to access the export menu.


Step 2: Select Boards and Workspaces

  1. In the Cross-Board Export interface, select the Trello boards and workspaces from which you want to export data. You can select multiple boards to consolidate data across projects.

  2. Use the search or filter options to quickly find and select the boards relevant to your needs.


Step 3: Configure Your Export Settings

  1. Choose the export format (CSV, JSON, Excel, Google Sheets, etc.) based on your requirements.

  2. Customize your export by selecting the fields, custom fields, and checklists you want to include.


Step 4: Open Scheduled Export Settings

  1. Navigate to the Data source where the schedule should be set.

  2. Click Create schedule to access the scheduling options.


Step 5: Set Up Your Schedule

  1. Frequency: Choose how often you want the export to occur:

    • Daily: Set exports to run every day at a specific time.

    • Weekly: Select specific days of the week and time for the export.

    • Monthly: Choose a specific date and time each month for the export.

  2. Start Time: Set the exact time you want the export to begin. This time will be used for each occurrence based on the frequency you’ve selected.


Step 6: Choose the Destination for Your Export

  1. Send to Email: Automatically send the exported file to your configured email address. Ideal for keeping your team updated or for personal tracking.

  2. Save to the attachment in a specific Trello card: Automatically save your exported files directly as attachments to a specific Trello card. You can easily find and reference the latest data without leaving Trello.


Step 7: Review and Save Your Schedule

  1. Review your scheduled export settings to ensure everything is configured correctly.

  2. Click Save to finalize your settings. A confirmation message will appear, indicating that your scheduled export has been successfully set up.


Step 8: Manage Scheduled Exports

  1. To view, edit, or delete scheduled exports, go to the Create schedule section at your data source.

  2. You can modify the frequency, start time, and destination settings at any time to adjust your automated exports as needed.
